The WHMCS admin, designed as one product

WHMCS automates billing, provisioning and support for web hosting companies, and their staff spend the working day in its admin. This is a concept we designed for WHMCS in 2025. It was never built, and it does not show WHMCS's plans.

We asked one question: how would the admin feel if every screen were designed as one system? The demo hosting company, Pinnacle IT, has a week of orders, a list of customers, a product catalogue and a marketplace of add-ons. Following real admin tasks through it kept the concept close to the work people do every day.

01 The challenge

Years of features, and no single system

Like most long-lived software, WHMCS has grown one feature at a time. Different areas use their own tables, forms and buttons, so the same job can look different from one screen to the next. The concept keeps every capability and asks it to behave as one product. Two things had to hold from the start: light and dark themes designed together, and invoices that show where they are without being opened. Here an invoice moves visibly from Created to Sent, Viewed and Paid, with the payment method beside it.

02 The idea

A SaaS admin product design built from four page types

We mapped the admin into four page types: overview, list, detail and form. Each has one layout, one table, one filter panel and one set of actions. Insights, customers, invoices, products and the marketplace were then rebuilt from that kit. Creating a product shows it working. Business Hosting at £12.99 a month, Reseller Hosting and a 2GB VPS are filled in, set to provision after payment, and join the top of the products list. No page in the concept needs a layout of its own.

03 The flows

Admin flows that read at a glance

Creating a product, messaging customers, following an invoice and installing an app all follow one rhythm: list, open, act, confirm. Small moments carry a lot of the work: counts that update as you select, and a bar that confirms a message has gone to three customers. In the marketplace, add-ons such as Web Console, Marketing Hub and SolusVM sit on sliding cards, and each one installs in place, so an admin never leaves the page. The same rhythm runs through every area.

04 Light and dark

Light and dark themes for a billing dashboard, designed together

The concept has two themes, switched from the navigation, and each new theme washes down from the top of the screen. The dark theme was designed alongside the light one instead of being inverted from it. Charts, tables, invoices and marketplace cards keep their contrast and hierarchy in both, and the figure that matters most, revenue today, stays the brightest thing on the screen. Both themes share one set of colour tokens, so every new screen works in light and dark from the start.

FAQs

Questions about the WHMCS product concept

It is concept work for the WHMCS client and admin product, designed by Grid Design for WHMCS in 2025 and never built. It shows how insights, customers, invoices, products and a marketplace could work as one consistent system, built from a small set of page types, rather than as separate areas that grew one feature at a time.

Find the patterns first. We mapped the product into four page types, overview, list, detail and form, and gave each one layout, one table, one filter panel and one set of actions. Every area was then rebuilt from that kit, so a task works the same way wherever it appears.

Small, reliable feedback. Counts that update as you select, a form that tells you what is left to fill in, switches that confirm straight away, and bulk actions that say exactly what happened, such as "Message sent to 3 customers". Admins spend hours in the product, so each moment has to be quick to read.

Yes. The concept has light and dark themes, switched from the navigation, and both were designed together rather than one being an inverted copy of the other. Charts, tables, invoices and marketplace cards all hold their contrast and hierarchy in either theme, so admins can work in whichever suits them.

Each invoice follows a visible journey from Created to Sent, Viewed and Paid, with the payment method shown, whether Direct Debit, card or PayPal. An admin can see where any invoice is at a glance without opening it, and paid invoices are clearly marked, so chasing payment starts from facts rather than guesswork.
